Academic Dismissal and Withdrawal Policy
1. Definition
Academic Dismissal/Withdrawal refers to the final cancellation of a student's academic record at the University. This action terminates the student's formal relationship with the institution, resulting in the loss of their status as an enrolled student. Re-enrollment is only possible through a new application and formal approval.
2. Cases for Dismissal
A student’s registration shall be terminated in the following instances:
• Voluntary Withdrawal: Upon the student’s formal request to permanently leave the university for personal or professional reasons.
• Academic Grounds: If the student exhausts the maximum number of allowed failures or exceeds the maximum duration permitted to complete the degree requirements.
• Disciplinary Grounds: Following a decision by the University Board to dismiss a student due to severe behavioral or academic misconduct.
• Unjustified Interruption: If a student fails to attend classes for two consecutive semesters without submitting a formal "Academic Leave of Absence" request.
3. Procedures and Regulations
• Students must submit a Withdrawal Request Form (the official template provided by the Registrar).
• A Clearance Certificate must be obtained from all departments (Financial Affairs, Library, Laboratories, and IT).
• The withdrawal is not considered effective until a formal decision is issued by the Office of Academic Affairs and approved by the University President.
4. Financial and Legal Implications
• Tuition Fees: Students are not entitled to a refund of tuition fees for the semester in which the dismissal occurs if the "Add/Drop" period has passed.
• Academic Record: Students are entitled to an official Transcript showing credits earned prior to dismissal, with their status marked as "Withdrawn" or "Dismissed."
• Original Documents: The University commits to returning all original documents (High School/University certificates) once the clearance process is finalized.
5. Re-enrollment
• Students who withdrew voluntarily may apply for re-enrollment after at least one full semester. The application will be subject to the admission requirements and fee structures applicable at the time of the new application.
• Re-enrollment is strictly prohibited for students dismissed due to disciplinary reasons.
